Most tradesmen don't lose money on the job. They lose it after: invoices that go out a week late, receipts that end up in the truck's door pocket, and the customer who "forgot" to pay. AI won't replace your bookkeeper or your accountant, but it can take a lot of the evening paperwork off your plate.
Send the invoice the same day
The longer you wait to bill, the longer you wait to get paid. Before you leave the driveway, talk through what you did into your phone ("replaced four panels on the back wall, re-hung one downspout, extra half hour for the rotted sheathing, materials $86") and have AI turn it into a clean invoice description that matches your estimate. Paste it into whatever you use to bill: QuickBooks, an invoicing app, or a template. You check the numbers.
Sort receipts as you go
Snap a photo of every receipt when you get it. Once a week, give the photos to an AI tool and have it pull the date, store, amount, and which job it was for into a simple list. Many bookkeeping apps can now read receipt photos for you. Either way, look over the list before it goes to your books.
Chase late payments politely
Write out your payment terms once. Then have AI help you draft a short series of reminders: a friendly note when it's a few days late, a firmer one after two weeks, and a final notice. Keep them polite and plain. You decide when to send each one, and when it's time to make a phone call instead.
Know your numbers
Once a month, export what you billed and what you spent and ask AI to help you see it: which kinds of jobs made the most per hour, which customers paid slowest, what you spent on materials. It's a starting point for questions to bring to your accountant, not tax advice.
What to keep human (and private)
- Your accountant does your taxes. AI can organize the papers; it can't sign your return, and it gets tax rules wrong.
- Don't paste in bank logins, card numbers or Social Security numbers. Ever.
- Check every number. AI is good at words and not always good at math. Add it up yourself, or use the totals from your bookkeeping app.
As we say at Fixer School: AI is a terrible master, but a great servant. Let it do the typing; you watch the money.
Where to start
Tomorrow, send one invoice before you leave the job. That one habit gets most tradesmen paid a week faster. Then add the receipts, then the reminders. For the front end of the job, see writing estimates in minutes with AI and AI that follows up on every quote.
