How to Forward Only the Calls You Miss, and Keep Answering the Rest

You don't have to hand every call to a service. Conditional call forwarding sends only the calls you don't answer, so you still pick up when you can.

A lot of contractors think an answering service means giving up their phone. It doesn't. You can keep answering every call you can get to, and send only the ones you miss somewhere else.

Conditional call forwarding

Most cell carriers offer conditional call forwarding, sometimes called "forward when unanswered" or "no-answer forwarding." Your phone rings like normal. If you don't pick up after a set number of rings, or you're busy on another call, or your phone is off, the call moves to another number: an answering service, an AI helper, or a partner.

How to set it up

It's different for every carrier and phone, so:

  1. Search your carrier's name plus "conditional call forwarding." Most have a help page with the exact codes or settings.
  2. Many carriers use a short dial code to turn it on and off. Some put it in the phone's call settings. Business phone apps usually have a "when unanswered, forward to" setting.
  3. Set how long it rings before forwarding. 20 seconds is a good start. Long enough to get your glove off; short enough that the caller doesn't give up.
  4. Test it. Call yourself from another phone and don't answer.

If you run Google Local Services Ads, think about where that 20 seconds lands. Google now bills some unanswered calls after 20 seconds, so you want the call answered by something before the caller gives up.

Where to send it

  • A missed-call text-back (cheapest): the call ends and a text goes out. See three versions to copy.
  • An answering tool that takes a message, asks your questions, and texts you a summary.
  • A person: a spouse, an office helper, or a paid answering service.

Keep control

  • Look at every summary the same day. A missed call that got forwarded is still your customer.
  • Turn forwarding off when you're sitting in the office and can answer everything.
  • Don't forward to anything that gives a price. See what an AI receptionist should say first.

This is the setup we like for a one-man shop: you first, the helper second. You stay the boss of your own phone.
