The Lead-Gen Problem

How fast do you have to text back a missed call during the pre-holiday rush?

Text back a missed call within about five minutes and call back within the hour during the pre-holiday rush. Here's the timing and a setup plan.

You’re on a ladder or finishing a job when your phone shows a missed call, and the pre-holiday schedule is already tight. Send a text within about five minutes, then make a real callback within the hour. That timing gives the caller a quick sign you saw the call and a clear expectation for when you’ll talk.

There’s no legal or Google deadline for texting back. The five-minute and one-hour targets are practical benchmarks, not requirements. During the weeks from mid-November through the end of December, letting a new caller wait until tomorrow risks losing the job to a contractor who responds sooner.

The short answer: minutes, not hours

**Text within about five minutes and make a real callback within the hour; don’t leave a pre-holiday caller waiting until tomorrow.** Google tells businesses to respond to leads “as soon as” they come in, without setting a specific deadline. The evidence points to a quick acknowledgment followed by a timely conversation.

Your first reply can be brief: “Saw your call, I’m on a job, I’ll call you by 3.” That lets the caller know you received the call and when to expect you. Follow through with the callback within the hour, even if the text comes from your truck between jobs.

The holiday rush runs from mid-November through the end of December. Thanksgiving falls on Thursday, Nov. 26, 2026, as shown on the 2026 federal holidays calendar. When customers are trying to get work handled before guests arrive or before the year ends, a next-day reply leaves room for another contractor to reach them first.

What the speed studies say, and what they don't

The sales studies support a fast first response, though they measured web-form leads rather than missed calls to tradespeople. A 2011 Harvard Business Review audit of 2,241 companies found that only 37% answered a web lead within an hour, 23% never answered, and the average response took 42 hours. Companies that contacted a lead within an hour were nearly seven times as likely to have a meaningful conversation with the decision maker as companies that waited another hour.

An older InsideSales/MIT study found contact odds dropped 100 times between five and 30 minutes. Those figures do not establish the exact callback window for a one-person trade business. One co-author ran a sales-software company, and the studies focused on web inquiries, not callers trying to book a repair.

Vendor surveys offer context for trade businesses. In Jobber’s owner survey, most customers were reported to expect an answer within an hour. CallRail’s consumer survey found that 21% of callers contact the next business right away. Treat those as vendor-reported figures, not independent measurements of every trade or market. Together, they support sending an acknowledgment quickly and setting a callback time you can meet.

Why the pre-holiday weeks are different

ServiceTitan’s plumbing data puts the Monday before Thanksgiving and the Monday after it among the 10 busiest days of the year, with both much busier than the Friday after Thanksgiving. In 2026, those Mondays are Nov. 23 and Nov. 30.

The pattern fits the season: customers arrange repairs before guests arrive, then deal with problems after guests leave. A heavier call load means more chances to miss a call while you’re working, so a quick text-back has extra value during those weeks.

That data covers plumbing businesses using one software company’s platform. It does not establish the same call pattern for handymen, cleaners, flooring contractors, or other trades. Check your own call log to see when your business gets its seasonal surge.

Google is timing you too

If you run Local Services Ads, Google factors responsiveness into your ranking and profile quality. Google says missed calls “may negatively affect” your ranking, and average response time contributes to profile quality. For message leads, your ad can show an estimated reply time ranging from “a few minutes” to “one day.”

Since Oct. 1, 2026, a missed call during your Business Profile hours counts as a billed lead when the caller stays on the line for more than 20 seconds. That makes a callback part of handling a lead you’ve already paid for. Check the call and message notifications tied to your Google account so you can see new inquiries while you’re away from the phone.

Setting up a text-back the right way

You can reply manually from your own phone or use a business phone app to send an automatic missed-call text. A manual reply keeps the exchange person to person; an automatic message can acknowledge a call while you’re working.

Apps such as Quo or Jobber offer missed-call auto-replies. If you send automated texts from a business number, carriers require A2P 10DLC registration. Quo lists a $19.50 one-time review fee plus $1.50 to $3 per month. Fees and handling vary by provider, so check your app’s current fee page; unregistered texts can incur extra fees or be blocked.

Keep the message focused on the caller’s job. Include your name, confirm you saw the call, give a callback time, and invite them to text a photo if that’s easier. Skip the sales pitch. If someone replies STOP, honor it right away. The FCC rules allow up to 10 business days to process an opt-out, as set out in the federal regulation on telephone solicitations, but you have no practical reason to wait. This is not legal advice; marketing texts follow different rules, so get legal guidance before you send them.

My three-evening setup before Nov 16

Set aside three short evenings before Nov. 16 to prepare your reply and callback routine.

  • Evening 1, 20 minutes: Write your text-back message and update your voicemail greeting to give callers a callback time.
  • Evening 2, 30 minutes: Turn on your app’s auto-reply or set a phone reminder. Complete 10DLC registration if you use an app, and turn on Google’s text notifications for message leads.
  • Evening 3, 15 minutes: Test the setup from a friend’s phone. Then block 15-minute callback windows at lunch and 4 p.m. on Nov. 23 and Nov. 30.

Those windows give you specific times to return calls on the two Mondays ServiceTitan’s plumbing data identifies as especially busy.
